Responsibilities

Sitting in an inclusive team of interesting and intelligent people you will be responsible for all administration to support the team as well as clients.

Responsibilities include but are not limited to;
  • Negotiate and conclude business deals under the supervision of management.
  • Follow up existing and potential customer inquiries
  • Confirm new orders with suppliers/customers and negotiate with suppliers
  • Resolve customer/supplier's queries
  • Monitor shipping progress and advise customers of any delays
  • Instruct customs agents to organise import clearance and delivery to customers
  • Update information on products e.g., Material Safety DataSheet and product specification.
  • Assist with the import statistics analysis, acquire trading and marketing knowledge and know-how in the chemical industry
  • Manage stocks forecasts, costing & pricing including: Obtaining forecasts from customers on a regular basis and performing demand estimates based on forecasts received.
  • Assist the PIC with decisions on stock order quantities based
    on current and forecast stock levels to maintain them as per
    customer requirements.
  • Calculate costs using the booked exchange rate and related
    local charges and advise customers of any pricing changes
  • Follow up customers’ stock requests and related queries
  • Liaise between customers and suppliers/manufacturers 
  • Arrange Business Record (BR) for new business 
  • Issue sales/purchase contracts to customers/suppliers 
  • Submit workflows to instruct Process Control 
  •  Issue invoices and dispatch the necessary shipping and other supporting documents to customers.
  • Compile manufacturer's data report and other documents for customers where required
  • Report foreign currency position and profits to convert
Skills / Experience

The ideal candidate will have extensive Administration and Coordination experience as well as;
  • Excellent communication skills to deal effectively with all levels of employees and contacts
  • Ability to develop successful relationships with new customers and deepen or expand relationships with existing partners
  • Planning and organising skills with an ability to work autonomously and prioritise work to meet deadlines
  • Ability to identify potential problems and develop solutions
  • Must be accepting of change and be sensitive to cultural differences
  • Intermediate level of computer literacy with particular emphasis on the MS Office suite including Outlook, Word and Excel
  • Sound knowledge of basic accounting concepts
  • Experience and understanding of SAP systems is preferred.
  • Fundamental knowledge of trading and shipping terminology
  • Flexible and adaptable
