The Position

An exceptional opportunity has become available for an Executive Assistant to support the a senior leader of a reputable and Australian owned organisation. In addition to the Executive Leadership support, you will work in a collaborative administration team to drive efficiencies, process improvement and ensure ongoing development. This organisation is located in the inner suburbs of Brisbane with free parking onsite.

This role gives you the opportunity to work in a values-driven organisation who are true leaders in their field. You will provide strategic support and operational assistance across a range of sensitive and confidential issues. Your ability to coordinate and manage varying expectations and daily workflows will be highly attractive for this position.


Key Responsibilities

This position is an integral role in the organisation and requires an organised and skilled Executive Assistant who can provide a high level of coordination.

Your key responsibilities will include, however are not limited to:
  • Providing support in the form of managing diary appointments, scheduling and arranging meetings, and coordinating travel arrangements (both domestic and international); 
  • Managing all correspondence for the Executive including email management and filtering calls;
  • Coordinating meetings with the broader leadership group including monitoring actions, taking meeting minutes and finalising agendas;
  • Drafting and posting communication including correspondence, reports and presentations on behalf of the Executive;
  • Cover and support on the reception desk as needed;
  • Collaborate with the administration team to ensure all goals and objectives are met as a team.

Skills & Experience

As the suitable candidate for this position, you will hold prior relevant and recent experience providing a high level of administration support.

In addition, you will also:
  • Adaptive communication style to ensure an open, professional and friendly manner to all levels within the organisation;
  • Flexible work approach to meet the varying demands of an ever-changing and fast-moving environment;
  • Ability to professionally manage scheduling conflicts and recommend appropriate solutions;
  • High computer literacy in all Microsoft office applications (Word, Outlook, Excel, PowerPoint).
