About the role 

This is a fantastic opportunity for an experienced and professional Executive Assistant to support the Managing Director of a prestigious and reputable real estate organisation. This is a diverse role requiring the successful candidate to possess a business mindset that allows them to influence outcomes and make independent decisions.

This is a permanent role that is offering long term growth within the operations of the business. 
  
Responsibilities
 
Supporting the MD your role would involve:
  • Complex diary and calendar management 
  • Advising the MD of matters requiring personal attention, with associated deadlines, and preparing relevant documentation
  • Screening telephone calls
  • Compilation of meeting packs and presentations for key clients and stakeholders
  • Prioritising and ensuring that reports, business papers and correspondence are dealt with efficiently and promptly (formatting, binding, dispatch and proof reading)
  • Organising travel and other related arrangements (flights, accommodation, transport and itineraries)
  • Assisting in the development and distribution of marketing and promotional material
  • Assisting with event management and function setup
  • Processing of purchase orders, invoices, expense claims and reconciliations for payment, adhering to expense policies and procedures
  • Carrying out special projects as allocated by the Managing Director
  • HR support inclusive of onboarding/offboarding, contract management and process improvement
Skills and Experience
  • Experience supporting an Executive within real estate is advantageous 
  • Ability to prioritise and stay one step ahead
  • Display initiative, confidentiality, loyalty, and the capacity/desire to achieve and work with minimal supervision
  • Strong communication skills both written and verbal
  • Ability to build effective relationships both internally and externally 
  • Overall great team player
  • High degree of attention to detail
  • Excellent planning and organisation skills while being extremely flexible
  • Strong technically in the Microsoft Office Suite
  • Excellent time management skills
  • Ability to own your own development and dedicate time to upskill
  • Highly organised and able to prioritise tasks effectively
