Our client is a leading construction firm and are now seeking an Office Manager to join their team. The successful candidate will play a key role in ensuring the smooth and efficient running of the office while supporting the wider office and team.
This permanent position is based in Melbourne’s Western Suburbs and requires an on-site presence five days a week, ideally from 7:00 AM to 3:00 PM.
Key Responsibilities
As the Office Manager, you will be instrumental in maintaining an organised and efficient workplace. Your key responsibilities will include:
- Reception duties: Answering incoming calls, Collecting mail, greeting visitors, Receiving and managing deliveries and Co-ordinating with office tenants
- HR Support: Assisting with onboarding and offboarding processes, employee inductions for site projects, employee ticketing and licenses, assistance with preparation of SWMS and related site documentation
- Office Management: Maintaining clean and tidy office environment, Managing office services and supplies, Managing website enquiries, Document Management, Maintaining office asset registers for vehicles, keys and other office assets, IT device management and basic troubleshooting
- Administration tasks: Meeting minute taking, coordinating meetings, document management
- Other administration ad hoc tasks
The ideal candidate will bring:
- Proven experience in a similar office management role
- Onboarding experience with scheduling inductions and preparing SWMS
- Strong technical proficiency in the Microsoft Office Suite
- Exceptional written and verbal communication skills
- Strong organisational skills, capable of multitasking and prioritising competing demands
- Positive attitude and a proactive approach to work
- High attention to detail and excellent planning and organisational skills
