The Position

An exceptional opportunity has become available for an Executive Assistant to Group CEO & Company Secretary to join a high performing not for profit. In addition to high level executive support, you will also contribute to the success of the Board. This organisation is located in the inner suburbs of Melbourne with close access to public transport and free parking.

This role allows you the opportunity to work in a values-driven organisation who hold a highly respected reputation in their field. You will provide strategic support and operational assistance across a range of sensitive and confidential issues, and be a true partner to the CEO and Company Secretary. Your ability to coordinate and manage varying expectations and daily workflows will be highly attractive for this position.

Key Responsibilities

Reporting to and supporting the Group CEO and Company Secretary, this position is an integral role in the organisation and requires a highly organised and skilled professional who can provide an exceptional level of coordination and management.

Your key responsibilities will include, however are not limited to:
  • Provide Executive Assistant support to CEO including being the primary point for all calendar management, organising meetings etc.
  • Assist the company secretary with all administration filings to ACNC, ASIC etc to comply with the Corporations.
  • Support the company secretary prepare board packs and maintain the Board Effect portal
  • Support the company secretary establish induction and training for new board members
  • Support the company secretary with minutes as required, including of subcommittees.
  • Provide administrative support for Board Chairs as requested, including assistance in coordinating meetings or following up actions.
Skills & Experience

As the suitable candidate for this position, you will hold prior relevant and recent experience as an Executive Assistant professional within a corporate business environment. 

In addition, you will also:
  • Extensive experience in interacting with multiple stakeholders;
  • Adaptive communication style to ensure an open, professional and friendly manner to all levels within the organisation;
  • Flexible work approach to meet the varying demands of an ever-changing and fast-moving environment;
  • Ability to professionally manage scheduling conflicts and recommend appropriate solutions;
  • High computer literacy in all Microsoft office applications (Word, Outlook, Excel, PowerPoint).
