Key Responsibilities
- Organise and maintain the Vice President’s calendar/schedule
- Book local and international travel, transport and accommodation, including managing any Visa application requirements
- Book meetings, set up meeting rooms, greet visitors and arrange catering, as requested
- Coordinate and book online meetings across varying time-zones
- Administer and process work-travel expense claims
- Prepare presentations, briefs and reports
- Take meeting minutes, collate and distribute action items
- Conduct research; gathering and compiling relevant information to support the Vice President with decision making, as requested
- Act as a liaison between the Vice President and key internal/external stakeholders, providing clear communication and updates as required
- Write and distribute correspondence
- Maintain best practice hardcopy/electronic filing systems for the Vice President and monitor the quality and consistency of soft copy filing
Skills and Experience
- Executive Assistance/Office Management experience
- Strong organisational and planning skills in a fast-paced environment
- A proactive, collaborative mindset with the ability to work autonomously under direction where required
- Well-developed liaison skills, including excellent verbal and written communication skills
- Excellent time management skills
- Experience in dealing with confidential information, and demonstrated capacity to maintain confidentiality and professional standards
- Strong PC literacy skills including Microsoft Word, PowerPoint, Excel and Outlook
- Relevant tertiary qualification in business administration or equivalent experience
