About the role

We are seeking a highly organized and detail-oriented Wholesale Coordinato a leading homewares business. In this role, you will be responsible for supporting the account managers, processing orders, monitoring inventory levels, and ensuring smooth communication between our sales team, product team, overseas suppliers, and customers. The ideal candidate will have excellent communication skills, advanced proficiency in Excel (including pivot tables and VLOOKUPs), and the ability to work in the office five days a week.

Key Responsibilities:
  • Order Processing & Management:
    Process wholesale orders, ensuring timely and accurate order entry into the system, coordinating with the warehouse for inventory allocation, and following up with customers for confirmation.
  • Inventory Monitoring & Replenishment:
    Monitor stock levels, ensure timely reordering of products, and keep track of any backorders or stockouts. Coordinate with suppliers to maintain optimal inventory levels.
  • Reporting & Data Analysis:
    Use advanced Excel functions, including pivot tables, VLOOKUPs, and complex formulas, to create regular reports on sales trends, inventory status, and order fulfillment. Analyze data to assist with decision-making and forecasting.
  • Account Management & Customer Communication:
    Maintain positive relationships with wholesale clients, answering inquiries, resolving issues, and ensuring satisfaction. Provide accurate product information, pricing details, and delivery timelines.
  • Coordination with Internal Teams:
    Work closely with the sales, product, and logistics teams to ensure seamless operations and timely delivery of orders. Help coordinate new product launches, special promotions, and seasonal updates.
  • Compliance & Documentation:
    Ensure all wholesale orders comply with company policies, terms, and conditions. Maintain accurate records and documentation for all transactions and communications.
  • Process Improvement:
    Suggest and implement improvements to streamline the wholesale process, increase efficiency, and reduce errors.
